Law Firm Administrative Assistant

Kang Haggerty is a growing boutique business litigation law firm in Center City, Philadelphia. The Firm seeks a full-time administrative assistant. The administrative assistant will directly support the Firm’s Managing Member, Firm Administrator, and Controller with all activities surrounding the daily operations of the law office. This position has room to grow and develop with the candidate.  


The position is fully in the office. The Firm’s hours of operation are Monday through Friday, 9:00 a.m. to 5:00 p.m. There is the potential for overtime in this role.

General responsibilities may include: 

  • Maintain and update legal blogs and social media pages with updates about the Firm, including awards, articles published, speaking engagements, and successful outcomes.  
  • Perform various clerical and administrative projects, as assigned by attorneys and firm management.  
  • Manage the front desk/reception area.
  • Maintain the cleanliness in the reception and conference room areas.
  • Take and send out firm attendance each morning.
  • Take potential client calls.
  • Perform new client and matter file opening, including running conflict checks and drafting engagement letters. 
  • Work with client electronic billing systems and monitor billing processes. 
  • Assist the Controller with expense reimbursements and monthly billing.
  • Assist with scanning, copying, and legal filing needs as necessary. 
  • Arrange conference registrations and travel accommodations (flights, hotels, trains, restaurants), prepare travel itineraries and expense reporting. 
  • Schedule and track attorneys’ Continuing Legal Education (CLE) credits.
  • Perform general office duties such as ordering office supplies and managing inventory; maintaining or improving internal procedures; and coordinating with building services.  
  • Support the firm’s attorneys and social activities, including placing food orders; scheduling and maintaining conference room appointments and calendar; setting up conference room meetings; maintaining conference rooms and kitchens; and keeping inventory of beverages, paper goods, cleaning, and snack supplies. 

Preferences include: 

  • Demonstrated proficiency with Microsoft Office and Adobe Acrobat Pro 
  • Prior administrative experience within an office setting, law firm preferred
  • Bachelor’s degree
